Clients and Responsibilities

Over time our experience has shown us that the best websites are produced for the lowest cost when these guidelines understood and are followed. The client plays a huge role in the completion of the web design process.

Use Email for communicating with us, particularly because it gives us both a written record. Please use it whenever possible. All changes and / or revisions must be submitted via Email. Be clear on what your goals are. Let us know what you want from your website.

Decide on content. Decide what content you want to present on your website. We will be in charge of designing the how and where aka, the formatting and layout. If you do not want to worry about content, the Design Firm can offer its Content Creation Services. Deliver content to us in an organized and timely manner. Text should be finalized, proofread and ready for publication. Graphics should be named carefully and sent in an orderly way. Design Firm retains the right to reject incomplete or disorganized content and / or instructions

Offer clear, helpful feedback to design drafts. Remember that the process consists of 2 rounds of revisions.

Leave it to us to produce a professional product. Be flexible and aware that time is limited, and leave the responsibility of producing professional results primarily in our hands.

Content: Client is solely responsible for the editorial, pictures, graphics, or video content of the material included on its website. (a) During the first 30 days images and content will be supplied by the client, as desired and appropriate, and the Design Firm will incorporate them into the website. Professional stock images and / or copywriters maybe requested from the Design Firm to assist in the completion of the website; if these carry a cost, client approval will be sought first and this cost will be added to the final invoice. (b) After the 45 days, if client has not provided remaining images and content, they will be supplied by the Design Firm, as desired and appropriate. Professional stock images and / or copywriters maybe used. If these carry a cost, this cost will be added to the final invoice.

Company Logo: If you have an existing logo to be used in the design work, it should be provided in vector format. The most common vector formats are Postscript (.eps) and Illustrator (.ai). A vector format allows the logo to be made larger or smaller without losing image quality and clarity. A .jpg file is not a vector format and may not represent your logo at its best.

Sample Navigation: A sample navigation determines the page count and scope of the website. This sample will demonstrate how a user will access the information / content of your website. This sample should provide the page names for the top-level menu (sometimes called main menu) and page names of the secondary levels (sometimes called drop-down menus) showing its hierarchy.

Content (Text, Images, Video & Audio): If you have agreed to provide your own content, we recommend using the sample navigation to determine the amount of content needed to complete the project. Provide us with the text needed to fill the pages listed in the sample navigation. We recommend that every page, with few exceptions, should have a minimum of 350 words per page. If you have agreed to provide your own quality images, we recommend using the sample navigation to determine the amount of images needed to complete the project. A safe way to gauge the number of images is to estimate 2 images for every page in the sample navigation. Any photographs provided by you should be high resolution. The best resolution for photographs is 300dpi (dots per inch). Although the final photo will be published on the web at the lower resolution of 72dpi, we prefer a higher resolution to begin with. This enables us to better optimize any photographs (where necessary) and there is greater scope for re-sizing. Any text, images, illustrations, video, audio, or other material provided by you should be given to us before design phase commences. It can be a drain on time and resources if we are left waiting for these things halfway through a project. All materials provided by you should be in their final form with no future revisions necessary. Any changes which have to be made after the design work has been done will cost time delays and added expenses.

Contact information: Please provide email, phone number, mailing address, etc. you desire to have on the contact page.

Questions for forms: If you have any additional questions to be added to the contact form other than the traditional ones, please provide a list of those questions. Please provide a copy, either hard or electronic, of any forms other than the contact form, that will be on the website. For example, a quote request form or an application.

3 Sample websites for inspiration: Are there any websites that you feel does a good job accomplishing the goals you have set for your own website? We do not want to replicate another website, however they can be used for inspiration, sample customer experience and successful sales tunnels, etc.

Blog Articles: Please provide us with any per-existing blog articles you would like for us to publish to your new website’s blog.

Hosting and Registrant Account Information: We need to know who is currently hosting, or who will host the account for the new website. We will also need access to this account to make preparations for the launch of the website. We need to know who the domain name registrant is as well. Please provide us with the login and password to the accounts. Once launch is complete the passwords can/should be changed.

Social media Integration: Provide links to any / all social media accounts.

Testimonials: Provide any testimonials the client has collected from previous clients / customers, because they have a huge impact on potential clients.
